After our client used Silverstone to host their Manager Conference during in January 2024 – they proceeded to host their All Colleague Conference at the venue in September 2024. We utilised some similar areas however with attendee numbers nearly four times than their January event, we did have to use some new spaces.
We had two large spaces – utilising one for arrival, refreshments, networking and catering throughout the event and then the other hosted the main conference with an overspill seating on the raised level. Both spaces has track views as well as balconies which allowed attendees to enjoy fresh air throughout the event at ease. As well as the two main spaces we had four breakout areas, prayer room and a boardroom to meet the clients needs. Utilising a purple carpet upon entrance which led guests to collect their lanyard with name, bespoke agenda and all information for the event – before heading into the catering area to enjoy the clients new branding, internal communication stalls and refreshments.

We hosted the same event on consecutive days – due to the nature of the clients business all colleagues cannot attend on the same day. Within attendees of 800 people per day we created two groups to help with the flow but also to ensure within breakouts they were intimate and all attendees were able to ask questions to maximise their experience. Each individual had a group on their lanyard as well as their agenda having room names/breakout session to help with the flow of people moving – in turn lunch was hosted in two groups to help queues and improve attendee experience, as less waiting/queuing is always a bonus!
Set up and rehearsal day, both event days and evening breakdown ran smoothly from start to finish and this was the first time we implemented groups for breakouts/lunch, multiple days of the event and it all flowed and worked incredibly for the client to start planning 2025 and future events with larger numbers.
